Executive Assistant

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our agency’s senior-level managers. This full-time position is in Nassau County, Long Island.

The Executive Assistant’s responsibilities include managing calendars, making travel arrangements, and preparing expense reports for the Executive Director, Deputy Executive Director, and VP of Operations.

To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.

How You’ll Help Us Be Successful:

  • Serve as Executive Assistant to the Executive Director, Deputy Executive Director, and VP of Operations
  • Ensure confidential matters are handled with tact and discretion
  • Maintain and coordinate Executive Director and Deputy Executive Director’s calendar
  • Plan meetings both virtual and in-person and prepare conference rooms
  • Draft agendas, take minutes, supply advanced materials and execute follow-up for meetings and team conferences
  • Liaison with staff, board, and members as required
  • Create reports and presentations, using advanced Excel, Word, and PowerPoint functions. Ensure accuracy of information presented
  • Maintain timelines for all projects, including updating Executive Director and Deputy Executive Director on status, as requested
  • Schedules and organizes multiple activities such as meetings, travel, and department activities for members of the senior management team
  • Additional duties as assigned by supervisor

What You’ll Need To Be Successful:

  • Must have a high level of interpersonal skills and professionalism to handle sensitive and confidential situations and information
  • Must have superior writing skills
  • Must be able to interact and communicate with individuals at all levels, including Board Members
  • Must be organized and detailed oriented with the ability to adjust to changing deadlines quickly
  • Must be proficient in Microsoft Office 2010, including Word, Excel, and Outlook as well as a working knowledge of multiple system databases and basic office equipment
  • Ability to multi-task and remain calm during stressful situations.
  • Must be able to work a flexible schedule (some evenings and weekends)
  • Excellent interpersonal skillls
