Early Childhood Administrator

Under the direction of the Director of Early Childhood, the Early Childhood Administrator is responsible for providing administrative support services to the Early Childhood Management Team. They will provide day-to-day office management functions while providing professional customer service.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Work collaboratively with the Early Childhood Director and Assistant Directors to ensure the smooth operation of the department
  • Compose and draft letters, legal documents, reports, and other written material as necessary
  • Manage schedule for school visits; including setting-up tour appointments and creating prospective student folders, and following-up with families
  • Schedule room reservations, manage monetary donations, and monitor supplies, equipment purchasing, and needs
  • Manage classroom essentials: i.e. walkie talkies, classroom binders, evacuation details, first aid bags
  • Manage lunch distribution
  • Oversee registration by providing customer assistance and intake for registrations
    • Maintain paperwork, ensure the accuracy and completion of required documents; health forms, signatory papers
  • Maintain staff files and spreadsheet for medical forms, CPR/First Aid, professional development hours, leave requests
  • Maintain new hire and new student packets, classroom binders, student files – regularly audit files and binders and follow-up on missing documents
  • Screen incoming calls, take messages, refer calls and respond to routine callers; monitor EC general email inbox, and distribute messages to classroom teachers
  • Additional duties as assigned by supervisor

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • Minimum of Associates degree, Bachelors preferred
  • Proficiency in MS Office and working knowledge of basic office equipment such as telephone, copiers, and printers
  • Must have excellent organizational skills, superior attention to detail, and accuracy while meeting critical deadlines
  • Excellent verbal and written skills; expert knowledge of proper grammar, strong vocabulary and proofreading
  • Good public contact skills and telephone etiquette
  • Ability to make decisions and exercise good judgement
  • High degree of sensitivity with regard to confidential information
  • Must meet state requirements for professional development and additional organization/school requirements may apply
  • A minimum of 2 years experience in customer service, office administration, and management
